PR lists drive almost every night out, yet in many venues they still work like this: names sent in a chat, copied onto a sheet, looked up at the door by phone torchlight. You know the result: queues, mistakes, arguments over who brought whom. With digital lists the work moves to where it belongs: before the night, not in front of the entrance.
1. A personal link for every PR
Every PR gets their own link to share on Instagram, WhatsApp or TikTok. Anyone who signs up through that link lands automatically on their list: nobody copies names any more, and the end-of-night count is already done.
2. Sign-up in thirty seconds
The more fields you ask for, the fewer people sign up. First name, last name, phone and party size are enough. Marketing consent should be asked separately, with an unticked box: it's the right thing to do and it gives you contacts who actually want to hear from you.
3. A QR code for every guest
After signing up, the guest receives a personal QR code. At the door, staff simply scan it and instantly see name, list, party size and whether they've already come in. A signed QR code can't be duplicated: a photo forwarded to a friend won't get in twice.
4. Caps and closing times
Decide in advance how many people each list can bring and until what time sign-ups stay open. When the cap is reached the form closes on its own: no overcrowding, no promises the door can't keep.
5. Check the numbers the next day
- How many signed up and how many came in, list by list
- What time people arrive, so you can plan staff and DJ sets
- Which PRs bring guests who come back
That's the data you need to reward the people who do a good job and to see which nights are worth investing in.
The best list isn't the longest one: it's the one where people who sign up actually show up.
